Why BASC directors switch

At 5:45 pm I’m staring at 6 missed calls and 4 parents at the door.
— BASC director, suburban
Parents keep asking “is my kid going today?” and we keep answering the same thing.
— Program director, K-5 BASC
Snow day messaging takes us an hour to push out.
— District vendor, 8 sites
Late-pickup fee conversations are awkward — and inconsistent across staff.
— Program director, after-school
Built for the pickup window

Drop-ins. Snow days. Late pickups. Hazel handles the script.

Hazel knows your program calendar, drop-in rules, late-pickup fees, and the family’s child by name — so the 5:45 pickup window stops being the loudest hour of your day.

Chat · schedule-aware

“Is my kid going today?” answered before you see the missed call.

Hazel knows your program calendar — school days vs. early dismissal vs. holidays vs. snow days vs. drop-in eligibility. Parents text the program number, ask any variation of “is my kid going,” and Hazel answers in seconds with the family’s child’s actual schedule.

  • School-calendar aware — early dismissals, holidays, snow days
  • Per-child schedule — knows which days each kid is enrolled
  • SMS-first — parents text the way they already do
  • Bilingual — family asks in Spanish, gets answer in Spanish
Voice + Chat · broadcast

Drop-ins, snow days, late buses — Hazel runs the script.

Bus running late? Hazel knows. Snow day? Hazel sends the broadcast to every family in 5 minutes, in every language, with the make-up plan attached. Drop-in request mid-day? Hazel checks capacity, approves, sends the family the bill, and updates your roster — no human in the loop unless you want one.

  • Snow-day broadcast — 5 minutes from your message to every family
  • Late-bus alerts — parents see updates in real time
  • Drop-in approval — capacity-checked, billed, rostered automatically
  • Every language — broadcasts sent in the family’s preferred language
Chat · pickup window

5:45 pm pickup window: parents text, Hazel texts back.

The hour from 5:00 to 6:00 used to be 30 minutes of phone calls and 30 minutes of physical dismissal. Now Hazel handles every “running 10 minutes late” and every “different person picking up today” via text. Your team owns the door, not the phone.

  • “Running late” texts — Hazel acknowledges + auto-flags fees if applicable
  • Pickup person change — Hazel logs + verifies with the authorized list
  • Roster updates — same-day absence notes feed your attendance log
  • Urgent only ring staff — everything else is handled silently
CRM · district + sites

District-level enrollment. Site-level flexibility.

For BASC vendors operating across a school district: central enrollment, central reporting, central compliance. Each site keeps autonomy over local hours, drop-in capacity, and after-school activities. Your district contract gets the standardized data it requires. Each site director keeps the autonomy they need.

  • Central enrollment + waitlist — one application, every site
  • Site-level customization — hours, capacity, activities, fees
  • District-wide reporting — attendance, fee collection, compliance
  • Contract-ready data — in the format your district contract requires
Voice + Billing · fee automation

Late-pickup fees, sibling discounts, drop-in rates — no math at the desk.

Hazel knows your fee schedule. The late-pickup fee that’s $1/minute after 6:00, the second-sibling 15% discount, the drop-in vs. regular-enrollment rate. Every conversation about money is consistent, accurate, and applied automatically. No more director writing fees on a sticky note for the front desk staff to enter Monday.

  • Late-pickup fees — applied automatically with parent notification
  • Sibling + multi-day discounts — calculated automatically
  • Drop-in vs. enrolled rates — Hazel knows which applies
  • Subsidy + scholarship rates honored across all conversations

Onboard before the school year starts.

We onboard you in late summer — school calendar synced, drop-in rules dialed in, late-pickup fees configured. Hazel is live for the first day of school, owning your pickup window from day one.

Get Started

Summer prep: calendar + rules + voice

We sync your school calendar, configure drop-in eligibility, set late-pickup fees, and tune Hazel’s voice to your program’s brand.

Hazel handles “is my kid going today” and calendar questions first. We watch the funnel, tune answers in real time.

Pickup-window go-live: 5:45 pm owned

Hazel takes the pickup window. Late-pickup texts, change-of-pickup-person requests, drop-in approvals — all running through her.

FAQ

What BASC directors ask before signing.

Can Hazel handle our drop-in requests with same-day approval?
Yes — Hazel checks site capacity in real time, applies your drop-in rules (lead time, advance fee, eligibility), bills the family, updates the roster, and confirms via SMS. Same-day approvals happen in seconds without your team ever seeing the request unless capacity rules trigger an escalation.
How does Hazel know our school calendar (early dismissals, snow days, holidays)?
Hazel reads from your school’s official calendar (Google for Education, Outlook, or your district SIS). Early dismissals, no-school days, half-days, holidays, and emergency closures all sync automatically. Hazel knows that if school is closed today, you’re probably closed too — and answers parents accordingly.
We bill by attendance — does Hazel sync attendance to billing?
Yes. Attendance updates from your roster (or from parent absence reports via SMS) flow into your billing system — Stripe or district invoicing. Late-pickup fees, drop-in charges, and sibling discounts all calculate automatically and post to the family’s account.
What about district-vendor compliance (background checks, contracts, COIs)?
Hazel supports your existing compliance — she doesn’t replace it. Background checks for staff stay with your HR vendor; district contracts and COIs stay with your operations team. What Hazel does is generate the attendance / fee / enrollment reports your district contract requires, in the format the district wants, on the cadence they ask.
Can parents reach a human if Hazel can’t help?
Always. Hazel transfers any conversation she can’t handle — injury, custody, complaint, or simply “I need to talk to a real person” — to your on-call staff with the full conversation transcript already attached. You set the escalation rules; Hazel handles the routing.
Do you integrate with the K-12 SIS our district uses?
PowerSchool, Infinite Campus, Skyward, Aeris are standard. We sign FERPA-compliant data agreements with districts and integrate at the level your IT team is comfortable with — usually read-only access to enrollment, schedule, and emergency contact data.
